Smarter Process with License Optimization
Last year, Torsten Holzbrecher joined SoftwareONE as the ICT Service Manager to oversee the deployment of operating systems for standard clients. His role was soon escalated to full asset management after IT saw the need for better visibility across the company’s large software estate. SoftwareONE’s internal application usage was skyrocketing to more than 25,000 instances and costs were rising, as was the potential for security vulnerabilities and licensing missteps.
Using Snow, Torsten and his team have a complete inventory of applications. The information helps them right size their technology ecosystem with effective management of installs, usage, licenses and entitlements. While the data has been very useful for decision-making, its supporting role in the development of IT process and company culture has been the biggest benefit.
“Our goal is to create a truly comprehensive license management program for the organization,” said Holzbrecher. “This requires a mentality change for not only our users but also for management. While software is a tool for their daily work, it is also a resource we need to maximize for the business. So we are meeting the technical needs of this strategy while also trying to implement new processes with several departments. We are working to educate our users that strategic license management is important for our daily operation.”
One key benefit SoftwareONE has found with Snow is the ability to run detailed reports on product usage. “I really like the ability to view information on specific products,” Holzbrecher explained. “What we need is a product inventory, not 6,000 instances of Microsoft Word, for example. Now we know it’s Office 365 or Office 2016 and so on.”
Greater Efficiencies by Rationalizing Applications
Snow has also provided SoftwareONE with important data on application usage, both by internal team members and by their customers. This data is the cornerstone of new processes. While a customer may require a specific application and little can be done to avoid those requests, internal application consumption can be more strategic thanks to the insight Snow provides.
“It’s less about reducing overall usage, and more about building a process around application rationalization that ensures greater efficiencies,” Holzbrecher said. The team applies this idea to human resources, when an individual leaves the company for example, and their access to Active Directory and other applications must be terminated but logged in case that employee ever returns to the organization.
SoftwareONE also connects the Snow License Manager to their IT service management (ITSM) system, ServiceNow. With Snow’s ITSM Enhancer, SoftwareONE can generate normalized and clean data for ServiceNow while understanding and linking to workflows across the business.
Minimizing Risk on Multiple Fronts
Another benefit to using the Snow platform is its ability to securely handle SoftwareONE customer data within shared cloud databases. GDPR protects client data from unauthorized access and Snow shows the SoftwareONE IT team which applications contain personal data, the type of data, as well as who has access to it, whether the data is on-premise, in the cloud or on a mobile device.
Sackett noted that in general, organizations are facing a lot of threat vectors in the wake of COVID-19, and security is always a top priority. IT teams must maximize productivity while also managing risk.
